The Send to Case feature integrates Outlook Mail with Gardiant Works so when you receive an email that you want to include in a case, you can do so with the Send to Case feature.
The feature opens in a window on the right-hand side of the screen where you can log in to your Gardiant account and take the appropriate steps.
You will be prompted to search for the case where you want to send the highlighted email. Search for the case and select the case you need:
If you chose the wrong case, click the Back button and search again or select a different case.
After choosing the correct case, you can Log correspondence, Create to-do, Include attachments, and Create case note.
Note: If the email does not have attachments, the Include attachments button will not be enabled.
You can rename the attachment titles if their current name doesn’t explain well enough what the document is about. The field for the file name is editable just by clicking in it and removing the old name or partially correcting it.
Note: The maximum number of characters that go in the title field is 100. If you enter more than 100 characters, the box will be highlighted in orange and it will not allow you to move to the next screen when you click Done.
On the attachments screen, you can also choose the category where you want the document filed within the Documents tab on your case.
For each document you can select a different Category and/or Type, or you can set the Category and Type for all documents at the same time from the drop-down menu at the top of the window:
Only the options you choose will be processed.
All input fields offer the capability to Cancel (top, left-hand side of the window) or to indicate you are Done (top, right-hand side of the window). By clicking on either of these buttons, you will be returned to the above menu:
After you click Done to complete the different actions, the next window will indicate changes made to that option and will allow you to send it!
Or you can go into the other options and complete those before you Send It!:
