Starting with March 2022, L&I has changed the naming format for the Monthly, Quarterly, and Adjustment reports (see attached email announcement at the end of this article).
As a result of this change, the title of the reports no longer includes the date and time which used to help with differentiating between the various documents. Gardiant uses this information to validate the reports being uploaded to the retro group under the Accounts tab.
The file title ends in .DOC, so when the document is downloaded to your computer, it reads the .DOC as an extension file for Word and not part of the document title.
Please follow these steps to convert the Word document to .TXT so it can then be uploaded to Gardiant:
1. Once you have the document saved as a Word document to your computer, right click on it (1), go to Open with (2), and choose Notepad.
If you don’t see Notepad as an option, click to Choose another app, and choose Notepad from the options:
2. When you have the document opened in Notepad, go through File and Save As. Save it to your computer with this title format:
Title of MNTHLY / QRTRLYD
.DOC
The next part is the date with the format of D (for date) last two digits of the Year then Month and Day
Then it will be the T (for time) Hour (military format) Minutes and Seconds
For example, this monthly report should have the title as MNTHLY.DOC.D220318.T184509:
To break it down for date and time you have:
D220318: D = date 22 = 2022 (year) 03 = March (month) 18 = day
T184509: T = time 6 PM = 18 (military time) 45 = minutes 09 = seconds
Once you have the report saved as .TXT with this format title, double check the upload history to make sure you haven't already uploaded the same report before and then upload the newest report to Gardiant.
Note: If you upload an older report, that information will override the claim data from the newer reports.
