Use the following checklist as guidance for the steps you should take when an employee is no longer with the company:
Microsoft 365:
Log the person out from Microsoft 365 on all devices, block their Microsoft sign-in, reset the Microsoft 365 password and/or delete the user: Force Sign-out of All Devices in Microsoft 365 Portal.
If you are not reusing the Microsoft 365 license, let your license provider know to remove it and stop the billing.
Gardiant:
Deactivate the former employee's Gardiant profile: [Admin] [Notes] How to deactivate a user in Gardiant Works.
Delete their fax number: [Admin] Delete a Fax Number.
If the person was CC-ed on new referral email notifications, please contact Gardiant Support to remove them and replace their email with somebody else's, if necessary.
Reassign / close all cases for which the user was Lead or Referred.
Run [Admin report] Scheduled Activities Detail to see what pending work needs to be reassigned or deleted.
Run [Admin report] Billing Case Note Details to find the billing for the former employee and decide if there is need for additional action.
Other:
Remove CAC permissions: Working with L&I.
Remove their access from any other accounts.
