The Payroll Summary can be found on the Reports tab and the Payroll Reports sub-tab, and it calculates Timekeeper payroll or “farm-out”/commission/based pay for Referred VRC or Lead VRC for work done by others on their cases.
The report shows billable charges invoiced, submitted, completed, or by invoice date (depending on the selection to the Date range applied to... parameter) within the specified date range.
This report is presented in a “report book” format, with eight different reports being presented in the eight tabs (or eight worksheets if exported to Excel):
Timekeeper tab shows all billing during the period, with a row for each Timekeeper and Charge Type.
Referred (ex Ref) tab shows all billing by others on a VRC's referred cases (excludes billing by the Referred VRC), with a row for each Referred VRC and charge type.
Referred, Timekeeper (ex Ref) tab shows all billing by others on a VRC's referred cases (excludes billing by the Referred VRC), with a row for each combination of Referred VRC, Timekeeper VRC, and Charge Type.
Referred (all) tab shows all billing on a Referred VRC's cases (including the Referred VRC), with a row for each Referred VRC and Charge Type.
Referred (Lead Hrs ex Ref) tab shows the billing on a Referred VRC's cases that was done by Lead VRCs other than the Referred VRC, with a row for each combination of Referred VRC and Charge Type.
Lead, Timekeeper tab shows all billing on a Lead VRC’s cases by VRCs other than the Lead VRC, with a row for each Lead VRC, Timekeeper VRC, and Charge Type combination.
Timekeeper, Rate tab shows billable charges from case notes in the specified date range (based on the selection made in the Apply date range to … parameter) for selected Account, Services, VRC roles, and Timekeeper Rate Levels. The tab By Timekeeper and Rate also has all the charge types included, like the By Timekeeper and Charge Type version.
Parameter Selections tab shows the parameter selections for the report to enable you to confirm those selections if there is any doubt or if you are referring to a past report that was archived in Excel format.
Each of the above referenced tables are designed to meet specific payroll rules, for example:
If “farm-out” pay is paid on all work performed by the Referred VRC or others, use Referred (all) tab.
If “farm-out” pay is based on work done by others for the Lead VRC, use the Lead, Timekeeper tab.
For pay to the Referred VRC based on work done by a different Lead VRC, use the Referred (Lead Hrs ex Ref) tab.
Parameters:
Start Date and End Date (required) are applied to filter case notes based on when they were completed, submitted, invoiced, depending on the selection on the Date range applied to... parameter.
Date range applied to... parameter (required) determines how the date range filter is applied. Selections are:
1. Date case notes invoiced (invoiced status only) = when the case note was invoiced, when the invoice was marked as finalized
2. Date case notes submitted (submitted or invoiced status)
3. Date case notes completed (any status)
4. Invoice Date (invoiced status only) = the Invoice Date entered when creating an invoice
*** Caution *** The selection on the Date range applied to... parameter (Date case note invoiced, Date case note submitted, Date case note completed, or Invoice Date) should be the same for every payroll you run according to your payroll policies. If you select the Date case note completed option, understand that case notes completed prior to Payroll Start Date but submitted after the last payroll was run will be missed and will need to be added into payroll using an exception process not supported by Gardiant Works.
Accounts (optional) allows you to narrow results to a specific account or group of accounts. If left showing None Selected, all active and inactive accounts (including internal, administrative accounts) will be included.
^Let me pick inactive accounts^ checkbox determines whether inactive accounts are included in the choices for selection in the Accounts parameter. To see only active accounts, leave the checkbox unchecked (the default selection), and Select all from the Accounts parameter.
Service (optional) allows you to narrow the results to cases delivering a particular service or services. If left showing None Selected, then all services will be included.
Timekeeper VRC (optional) lets you narrow the results to case notes completed by a particular individual or team. If left with None Selected, all users who completed case notes for your cases will be included.
Timekeeper Rate Level (optional) lets you filter results to only a single rate level, e.g., admin, when you need to apply different payroll calculations to a particular rate level or levels. Choices are Admin, Intern, or VRC. This filter is independent from the Timekeeper VRC parameter, i.e. it does not filter the selections in that parameter. If you choose a rate level that is not applicable for the selected VRC(s), no results will be returned.
Referred VRC (optional) is used to restrict results to billing on cases with a particular VRC or group of VRCs in the Referred VRC role.
Lead VRC (optional) is used to restrict results to billing on cases with a particular VRC or group of VRCs in the Lead VRC role.
Note:
Only the Timekeeper tab/table shows all the different charge types, including mileage and expenses. The other tables/tabs don’t include mileage or expenses, only Professional Hours, Travel/Wait Hours, and Flat Rate charges.
