[Admin report] Case Invoice Export

The Case Invoice Export report is not available in the Reports tab because it is closely tied to the process of moving case invoices from draft to finalized, and then to the exported state.

The report runs automatically after clicking the Export All Submitted Invoices button in the Case Invoices - Submitted sub-tab of the Invoice tab:

The report is then accessed from the Case Invoices - Export Files sub-tab by clicking the Download link for that report:

The summary of the total charges by charge type at the top is followed by detailed charges grouped by charge type.

Every time the report is run, all case invoices that are in submitted state are included in the report and moved from the Submitted sub-tab to the Exported sub-tab.

The report opens directly in Excel to facilitate further filtering and analysis.

Each row represents a unique combination of Case, Timekeeper, Charge Type, and Rate.

Parameters: All parameters are populated behind the scenes and the report is produced without the user making any parameter selections or even seeing the HTML output.

Notes:

  • TransactionDate is the Invoice Date.

  • RefNumber is the State Claim Number.

  • LineItemName is the Timekeeper name.

  • LineSeqNo is the line position of the item in this report; used to identify that unique line in your accounting software.

  • Description is a concatenation of Timekeeper VRC name, Charge Type, and first and last complete dates for work on that invoice by that VRC for that Charge Type.

  • LineQuantity designates the units for each line item, e.g, professional hours, travel wait hours, miles, or number of flat rate units.

  • LineRate is the rate for the line item, e.g., hourly rate, mileage reimbursement rate, etc.

  • Subtotal equals the LineQuantity multiplied by the LineRate.

  • Memo is a concatenation of the claimant’s name and the State Claim Number.

  • BillingCode is the short description for the Service being delivered in that case.
