Reports Overview

Reports specific to the VRC user are available via the Reports drop-down on the Dashboard. These reports show billing across cases so you can see your billing and what others are billing on your cases.

Claim Works has seven reports available to case workers:

  • My Daily Billing - Summary of Professional Hours, Travel/Wait Hours, Mileage, and Expenses, along with a chart showing each day’s hours for the selected date range (default is 16 days).

  • My Case Notes - View details by charge type for case notes you have completed and a summary of your billing by charge type at the top, with date filter options accommodating various payroll scenarios.

  • My Case Notes Review - View the complete description (in Excel) for case notes you are interested in reviewing.

  • My Cases - View the current state of your cases, including status and budget.

  • My Cases Billing - See a summary of all billing on cases for which you are Referred VRC or Lead VRC, and the details for each case note below the summary.

  • My Contributors’ Hours - View summaries of billing on your direct referral cases and on indirect referrals assigned to you to help estimate your “farm-out” pay for a specified period.

  • My Scheduled Activities - View To-Dos, Appointments, Firm Goals, and Ad hoc Goals that have been completed or are coming due for your cases or to which you have been assigned.

In order to access the billing reports from the Dashboard, click on the Reports drop-down, and choose one option from the seven reports shown:

When you choose a report from the list, it will open in a separate Report Viewer tab to display the report and its associated parameters. The report may run automatically if all the required parameters have preset selections, or you may need to specify some remaining required parameters.

Once all required parameters are selected, click the Preview button at the bottom of the parameters pane to run the report:

Parameter Selection:

When an optional parameter shows None Selected, it is the same as selecting all (no filter is applied). It is not necessary to make selections in optional parameters unless you wish to restrict the results.

Export format:

Most reports are formatted for use in Excel, but they can be downloaded in a variety of formats. Export to Excel is particularly useful for doing further analysis with filtering or sorting.

Reports that are printed or sent to outside parties, such as the Case Audit report, are formatted for PDF to facilitate printing or non-editable electronic delivery.

Run Time:

Most reports deliver results quickly if a limited date range is selected. Reports that need to gather billing information from individual case notes may take a few minutes if longer date ranges are selected. If desired, you can navigate to a different tab or application to continue your work while the report runs. Timeouts may occasionally occur but are temporary; the report will likely run if you try again later.

Availability Window:

Reports are available to be re-run from the window in which they previously were generated for a limited time (about 30 minutes).

Troubleshooting Steps:

- Sometimes the Preview button will not become active after selecting all required parameters. In this case, select an additional parameter or modify an already chosen one (and then re-select the right choice) to activate the button.

- If the error message “Error creating report instance (Report = ReferralsSummary): Client with ID '214602-be56' not found. Expired” is displayed in the results screen, just press the browser’s refresh button and the report will display again in its default state (your prior parameter selections will not be saved).
